Privacy Policy
Alien IT Solutions is a sole trader business based in the Penrith LGA, New South Wales. We provide managed IT, networking, communications and related technology services. We handle personal information under the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
This policy explains what we collect, why we collect it, how we hold it, who we give it to, and how you can access or correct it.
What we collect
Information you give us. When you contact us, ask for a quote, become a client or ask for support, we may collect your name, company name, job title, email address, phone number, site or billing address, and the details of the problem or service you need.
Information we collect while we work. If we manage or support your systems, we may hold the records needed to do that work. These records include device and asset details, user account and licence information, configuration records, support tickets and technical logs. Where we handle information about your staff or your customers, we do that as your service provider and on your instructions.
Website information. When you visit alienit.com.au we may collect standard technical information such as IP address, browser type, pages viewed and referring site. We use cookies and analytics for this. See Cookies and analytics below.
We do not collect government identifiers such as your tax file number unless the law requires it. We do not collect sensitive information about you without your consent or unless the law requires it.
Why we collect it
We collect personal information to:
- answer your enquiry and prepare quotes or proposals;
- deliver, support and administer the services you engage us for;
- manage accounts, licences, billing and payments;
- contact you about your services, including support and security matters;
- meet our legal, insurance and record keeping obligations; and
- improve our website and our services.
We do not use your information for direct marketing that is unrelated to the services you engage us for. You can ask us to stop sending marketing messages at any time.
How we hold and protect it
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. These steps include access controls and multi factor authentication on our systems, encryption in transit, endpoint protection, patching, and limiting access to the people who need it to do their work.
We keep personal information only as long as we need it for the purposes above, or as long as the law requires. After that we take reasonable steps to destroy it or de identify it.
Who we share it with
We do not sell personal information. We do not share it for third party marketing.
We may give it to:
- Suppliers we use to deliver your services. These include Microsoft, telecommunications carriers and internet providers, hardware and software vendors, and monitoring or backup platforms.
- Subcontractors and licensed trades we engage to complete work at your site.
- Professional advisers such as our accountant, insurer or lawyer, where this is necessary.
- Government or regulatory bodies, where the law requires or allows it.
Some of these suppliers store or process data outside Australia, including in the United States. Where we disclose information overseas, we take reasonable steps to make sure it is handled in a way consistent with the Australian Privacy Principles.
Access and correction
You can ask us for access to the personal information we hold about you. You can also ask us to correct it if it is wrong, out of date, incomplete or misleading. Use the contact details below. We will answer within a reasonable period, normally 30 days. In limited cases the law allows us to refuse a request. If we refuse, we will explain why in writing.
