Three things a cheap setup leaves broken.

  • Mail authentication. Without SPF, DKIM and DMARC set correctly, receiving servers cannot verify your mail is genuinely yours, so your quotes and invoices quietly land in spam folders.   • Invoice interception. An unprotected mailbox is the entry point for payment redirection fraud, where an attacker watches your mail and sends your customer a real-looking invoice with their bank details.   • Ownership. Domains registered under a previous provider's account, and tenancies where nobody at your business holds the global admin login, turn into a genuine problem exactly when the relationship has already gone bad. Yours should be in your name from day one.

How a move actually runs.

  • Audit first. What mailboxes exist, who really uses them, what is a person and what is a shared address, and where the domain is currently registered. This is usually where we find two licences paid for someone who left in 2023.
  • Set up alongside. The new tenancy is built and tested while your old email keeps running. Nothing is switched off to make room.
  • Migrate the mail. Mail, folders, contacts and calendars are copied across, then re-synced right before cutover so nothing that arrives during the move is lost.
  • Cut over out of hours. DNS changes land outside your trading hours, with the old mailboxes still intact behind you.
  • Verify, then hand over. Authentication checked from outside, MFA enrolled, devices reconnected, and documentation written down that you keep.

What does business email setup cost?

Microsoft 365 licences are billed at vendor RRP, for example Business Premium at about $38 per user per month. Managing it for you, which covers admin, the security baseline and support, is from $22 per user per month. A migration of existing mailboxes is from $880 for up to 10 mailboxes. All figures are ex GST and indicative, and you get a fixed quote after a free consult.

Can you move our email without losing anything?

Yes. Mail, folders, contacts and calendars come across, and the old mailboxes stay intact until you are satisfied the new ones are complete. Migrations are scheduled so the cutover lands outside your busy hours. Nothing is deleted at the old provider on the day of the move.

Why does our email keep going to spam?

Almost always because SPF, DKIM and DMARC are missing or wrong, so receiving mail servers cannot confirm your mail is really from you. It is a DNS configuration problem rather than anything wrong with your writing. Do we own our domain and mailboxes, or do you?

You do. The domain is registered in your name and the Microsoft 365 tenancy belongs to your business, with you holding the top-level administrator account. We work inside it with our own account. If you ever leave, you keep everything and we hand over cleanly, because the alternative is a hostage situation and it is not how this works.

Do we need Microsoft 365, or is Google Workspace fine?

Both are good. Microsoft 365 is the better fit if you use desktop Office, have a Windows environment, or want Business Premium's security and device management included. Google Workspace suits businesses already living in Gmail and Docs. We will set up and support either, and we are not paid to steer you to one.

What about shared mailboxes, aliases and staff who leave?

Shared mailboxes such as accounts@ or info@ are free in Microsoft 365 and should not be sitting on a paid licence. When someone leaves, their mailbox gets converted to shared so you keep the history without paying for it, and their access gets revoked properly rather than by changing the password and hoping.
